Key Concepts
Understanding a few core concepts makes the rest of the Docwize documentation easier to follow.
Documents
In Docwize, a document is more than just a file. It usually combines:
- one or more files
- metadata
- relationships to workflows, revisions, attachments, transmittals, or other documents

Metadata
Metadata is the structured information attached to a document, such as description, type, date, project, reference number, and related parties.
Some metadata is standard, while other fields may be introduced through custom field configuration.
Workflows
Workflows route documents or tasks between users, or through machine-based steps, for review, approval, sign-off, data capture, or automated processing.
End users usually encounter workflows in the Inbox, while administrators manage workflow templates in System Configuration.
Permissions and visibility
What a user can see or do depends on security settings, role permissions, and access to folders, projects, views, or modules.
