Workflow States
Workflow states describe where an item currently sits in a workflow process and what action, if any, is still required.
From an end-user perspective, workflow state is most often seen in the Inbox.
Depending on the role, some users may mainly encounter workflow states through action requests, review steps, approvals, or related document tasks, rather than treating workflows as a separate standalone workspace.
Typical workflow progression
Although implementations vary by configuration, a workflow commonly moves through stages such as:
- initiated
- sent to one or more recipients
- action requested
- reviewed, signed, approved, or otherwise responded to
- completed or closed
Why states differ between databases
Workflow behaviour is configurable. That means the exact state names, actions, response options, and routing logic may differ between environments.
