Transmittals

Docwize supports generating and distributing transmittals — commonly used in architecture, engineering, and construction to formally record and track the issue of documents. Transmittal templates and email distribution templates can be customised by an administrator.

How to generate a transmittal

Transmittals can be generated in more than one way:

The steps below describe generating a transmittal via Document Details.

These steps assume a transmittal template has already been configured and loaded into the system. Contact your administrator if no templates appear.

StepDescription
1Navigate to the transmittal document and open its Document Details dialog.
2Click Open in New Tab in the Document Details toolbar. This opens the transmittal's Document Details in a new tab.
3Complete the transmittal information in the new tab — for example, select the To and From fields, and navigate to Additional Information to set the Status.
4Return to the original tab and select the documents to add to the transmittal using the row checkboxes.
5Right-click on a selected document row. A dropdown menu appears listing the document number of any transmittal whose Document Details is currently open in another tab.
6Hover over the transmittal document number and click Add drawing(s) to transmittal. The selected documents are added to the transmittal. Repeat across as many folders or dataviews as needed.
7Navigate back to the transmittal's Document Details tab. Optionally, scroll to the Transmittals section to confirm all documents are listed. Click Save Changes in the toolbar.
8Click Generate Transmittal in the toolbar and select the relevant transmittal template. Optionally open the generated transmittal to review it.

Generating a transmittal

Viewing transmittal drawings in the inbox

Documents added to a transmittal appear as drawings nested under the parent transmittal document, both in the inbox sidebar list and in the document preview strip. This lets a reviewer see at a glance which drawings belong to a transmittal, without opening each one separately.

  • In the inbox sidebar list, each drawing added to a transmittal is listed indented directly beneath its parent document, alongside its reference number.
  • In the document preview strip, the parent document's card includes an Expand drawings / Collapse drawings toggle. Expanding it shows each nested drawing as its own card, labelled Type: Drawing, alongside the parent's Type: Document card.
  • Selecting a nested drawing's card highlights it together with its parent document's card, indicating they belong to the same transmittal.

How to send a transmittal

These steps assume a distribution email template has been configured, and that relevant contacts and users have been added to the system.

1Navigate to the Document Details of the transmittal.
2Scroll to the Distribution List section. Select recipients — either by importing a prepared distribution list or selecting individually. If applicable, select accompanying action requests for recipients.
3Click Send to Distribution List in the toolbar and select the relevant email distribution template. The transmittal and its attached documents are sent to the selected recipients.
